Outdated (or even missing) contact information is the ultimate road block to effective communication. Getting your contact list in order will allow you to reach customers when it matters most.

What does Rule One look like?

The more complete your contact list, the better prepared you will be to reach who you want to reach. Keep your list updated by adding phone numbers and emails as you receive them.

Is a utility bill being paid by a renter? Is there a landlord who should be included in communication about the account? Remembering information from one conversation to the next can save time and allow you to provide better service. Take contact notes that can be easily referenced later.

Do you frequently reach out to the same group of contacts? Your Board Members? High Water Users? Residents in a neighborhood undergoing massive road work? Using tags to organize contacts into frequently messaged groups can make communication simpler and more organized. Done with a tag? Simply get rid of it.
